Temporary Training Operations Assistant

Our client, a nonprofit health and human services organization, is seeking a Temporary Training Operations Assistant, to provide administrative, facilities and communications support to help the Learning & Development (L&D) team deliver training smoothly in Lawrence, MA. This is a part-time contract role. The Training Operations Assistant supports the Training Operations and Compliance Team with enrollment, attendance, and scheduling and is an on-site point of contact during training hours, prepares classrooms and materials, monitors supplies, and manages routine learner communications. The position is on-site in Lawrence, MA, Monday-Friday 9:00am-3:00pm, and pays $21.73/hour. Qualified and interested candidates are encouraged to apply today for immediate consideration.

Job Responsibilities:

  • Greet employees, vendors, and visitors; answer routine questions; and direct learners to the appropriate training rooms or resources.
  • Prepare classrooms for scheduled sessions, including room setup, technology, printed materials, supplies, and refreshments as needed.
  • Check training spaces and equipment for readiness and report issues that need attention.
  • Monitor inventories and identify supplies or training materials that need replenishment.
  • Place and track approved orders in accordance with departmental procedures and budget guidelines.
  • Coordinate routine logistics with vendors for printing, materials, equipment, and other training needs.
  • Assist with purchase requests, invoice routing, and inventory records.
  • Monitor designated L&D inboxes, respond to routine inquiries, and route other requests to the appropriate team member.
  • Draft and distribute class reminders, attendance instructions, announcements, surveys, and follow-up messages.
  • Help format and distribute internal training updates and communications.
  • Process attendance sheets, class sign-ins, and course completion documentation.
  • Provide basic backup assistance with LMS account questions and learner instructions, escalating technical issues as appropriate.

Candidate Qualifications:

  • High school diploma or equivalent required.
  • At least one year of experience in administrative support, customer service, training operations, or internal communications.
  • Experience drafting and distributing professional communications, such as email announcements, reminders, instructions, or newsletters, required.
  • Experience managing a shared inbox and responding to routine employee questions preferred.
  • Strong writing, proofreading, and attention to detail required.
