Our client is seeking a highly organized, proactive Executive Assistant to support two Executive Vice Presidents within an organization focused on economic policy and public affairs. This is a high-touch executive support role requiring exceptional calendar management, strong organizational skills, and the ability to anticipate needs while helping senior leaders operate efficiently. The ideal candidate is thoughtful, professional, and collaborative, with a service-oriented mindset and the ability to balance multiple priorities in a mission-driven environment. Hours are generally 9:00am-6:00pm with a one-hour unpaid lunch, and the role follows a hybrid schedule with three days onsite (Monday, Tuesday, and Thursday) and two days remote.

Key Responsibilities:

  • Provide executive and operational support to two Executive Vice Presidents
  • Manage complex calendars, scheduling priorities, and meeting coordination
  • Coordinate domestic travel arrangements, itineraries, and logistics
  • Process and manage executive expense reports and departmental expenses
  • Coordinate large meetings, internal events, and cross-functional initiatives
  • Manage email and voicemail communications as directed
  • Prepare and maintain files, records, templates, trackers, and contact databases
  • Process department invoices and coordinate with Finance on budget-related matters
  • Coordinate vendor contracts and contracting processes
  • Support project management initiatives and special projects as requested
  • Track attendance, time-off requests, and administrative records for supported teams
  • Collaborate closely with Executive Assistants and staff across the Foundation to ensure seamless support and coverage

Qualifications:

  • 8-10+ years of Executive Assistant experience supporting senior leaders
  • Executive Assistant title and direct executive support experience required
  • Bachelor’s degree required
  • Experience managing multiple complex calendars and executive priorities
  • Strong Microsoft Office proficiency, including Outlook, Word, Excel, and PowerPoint
  • SharePoint experience is a plus
  • Excellent written and verbal communication skills
  • Strong organizational, project management, and problem-solving abilities
  • High attention to detail and ability to manage competing priorities
  • Proven ability to work independently with minimal supervision
  • Positive, professional demeanor with a collaborative and team-oriented approach
  • Interest in supporting the Foundation’s mission is highly valued

  • $95K-$110K base salary + paid overtime + discretionary annual bonus
