Office Services Coordinator

Position Overview

We are seeking a proactive and service-oriented Office Services Coordinator to support the daily operations of a busy professional office environment. This role is responsible for mail services, copy and production support, facility upkeep, meeting preparation, records assistance, and general administrative support. The ideal candidate is highly organized, detail-oriented, and committed to providing exceptional internal and external client service.

Key Responsibilities

Mail & Distribution Services

  • Distribute incoming and outgoing mail, including USPS, FedEx, UPS, courier deliveries, and interoffice correspondence.
  • Coordinate and maintain postage meter supplies and functionality.
  • Deliver documents and packages throughout the office and to external locations as needed.
  • Perform court runs, subpoena service support, and other off-site delivery tasks.

Office Operations & Facilities Support

  • Maintain and stock copiers, printers, fax machines, and copy centers.
  • Order, organize, and distribute office supplies to staff.
  • Ensure conference rooms, breakrooms, mailrooms, and other common areas remain clean, stocked, and presentation-ready.
  • Monitor inventory levels and coordinate equipment service requests when necessary.

Meeting & Hospitality Support

  • Prepare beverage and refreshment carts for client meetings, conferences, and firm events.
  • Set up and reset conference rooms before and after meetings.
  • Provide hospitality support to visitors, clients, and staff as needed.

Administrative & Production Support

  • Provide switchboard relief and front-office support when required.
  • Assist administrative staff with copying, scanning, filing, faxing, binding, and document production projects.
  • Support the Records Department by creating labels and assisting with file management tasks.
  • Perform additional office services and administrative duties as assigned.

Qualifications

  • High school diploma or GED required.
  • One to two years of office services, facilities, mailroom, hospitality, or law firm experience preferred.
  • Strong verbal and written communication skills.
  • Exceptional attention to detail and organizational abilities.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.
  • Strong time management and multitasking skills.
  • Demonstrated commitment to delivering outstanding customer and client service.
  • Ability to work independently while contributing effectively as part of a team.
  • Proficiency with office equipment, including copiers, scanners, printers, and mailing systems.

Physical Requirements

  • Ability to frequently walk throughout the office and between departments.
  • Ability to lift and move boxes, supplies, packages, and files.
  • Ability to perform tasks that may require standing, bending, reaching, and carrying materials throughout the day.
