Administrative Assistant
This Administrative Assistant opportunity offers $31/hour, Monday-Friday, 8:30am-4:30pm in Wellesley, MA with a higher education institution. The assignment is expected to run through December 11th, with potential for extension. This fully onsite position supports a Career Development Center and is ideal for an experienced administrative professional who enjoys serving as the first point of contact, managing office operations, and supporting students, faculty, employers, and staff in a fast-paced environment.
Key Responsibilities:
- Serve as the primary point of contact for visitors, students, faculty, staff, and employers
- Answer and screen phone calls, emails, and inquiries, directing individuals appropriately
- Provide administrative support including document preparation, filing, billing, supply ordering, and office coordination
- Manage departmental email communications and ensure timely responses
- Draft, edit, proofread, and prepare correspondence, reports, and other materials
- Maintain electronic and paper filing systems, databases, and records
- Coordinate calendars, meetings, and scheduling activities
- Arrange travel logistics, accommodations, and transportation for staff
- Support budget tracking, recordkeeping, and reporting activities
- Coordinate special events, meetings, and departmental projects
- Assist with onboarding, scheduling, and supervision of student employees
- Participate in team meetings, training, and departmental initiatives
- Complete additional administrative projects and duties as assigned
Qualifications:
- High School Diploma required
- 2-4 years of administrative assistant or related experience
- Strong customer service skills and professional demeanor
- Excellent typing, editing, and proofreading abilities
- Proficiency with Microsoft Office Suite and comfort learning new technologies and systems
- Strong organizational, multitasking, communication, and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
- Basic supervisory experience or skills preferred
- Experience working with diverse populations and stakeholders
- Strong critical thinking and problem-solving abilities
- Adaptable, flexible, and able to manage multiple priorities effectively
- Valid U.S. Driver’s License with an acceptable driving record required
