Our client is seeking a professional, service-oriented Receptionist / Administrative Assistant to serve as the face of the office and provide support across multiple departments within a highly respected investment management firm. This role offers excellent exposure to executive leadership, human resources, workplace operations, marketing, and client services while providing a strong foundation for long-term career growth. The ideal candidate is polished, mature, detail-oriented, and eager to contribute wherever needed in a collaborative environment. Hours are Monday through Thursday from 8:00am-5:30pm and Friday from 8:00am-5:00pm, and the role is fully onsite five days per week.

Key Responsibilities:

  • Serve as the primary point of contact for visitors, clients, and employees by managing reception operations, incoming calls, guest registration, and conference room scheduling
  • Coordinate office hospitality, including catered meetings, daily lunch programs, conference room readiness, refreshments, and visitor experience
  • Provide administrative support to senior leaders through calendar coordination, expense reporting, scheduling, and special projects
  • Assist Human Resources and Workplace Operations with onboarding activities, employee engagement initiatives, communications, and internal content updates
  • Support marketing and event initiatives, including conference logistics, shareholder inquiries, mailings, and on-site event coordination
  • Partner with client service teams to respond to inquiries while maintaining a professional, welcoming, and organized office environment

Qualifications:

  • Bachelor’s degree required
  • 0-2 years of administrative, customer service, hospitality, or corporate experience
  • Strong professionalism, maturity, communication skills, and commitment to delivering exceptional service
  • Highly organized with strong attention to detail and the ability to manage multiple priorities
  • Proficiency in Microsoft Office Suite; Canva experience is a plus
  • Positive, team-oriented attitude with a willingness to take initiative and contribute across departments
