Our client is seeking an experienced Executive Assistant to support two Managing Directors and a broader Healthcare Capital Markets team within a fast-paced financial services environment. This role is ideal for a highly organized professional who thrives managing complex travel, calendars, and executive priorities while serving as a trusted partner to senior leaders. The ideal candidate is confident, adaptable, detail-oriented, and able to navigate changing priorities with professionalism and sound judgment. Hours are generally 8:00am-5:00pm or 9:00am-5:00pm, with occasional overtime related to travel coordination and scheduling needs, though weekend support is minimal. The role is fully onsite five days per week.
Key Responsibilities:
- Provide high-level administrative support to two Managing Directors and a broader investment banking team, including complex calendar management and meeting coordination
- Arrange extensive domestic and international travel, develop contingency plans for disruptions, and manage detailed itineraries
- Process and reconcile expense reports while maintaining accuracy and timely submission through internal systems
- Prepare presentations, meeting materials, correspondence, and other business documents for client and internal meetings
- Coordinate conference calls, client events, executive appointments, and stakeholder communications across multiple schedules and time zones
- Support special projects, provide team coverage as needed, and maintain confidential information with discretion and professionalism
Qualifications:
- 5-8+ years of Executive Assistant experience, preferably within investment banking, capital markets, financial services, or another professional services environment
- Strong experience managing complex calendars, executive travel, expense reporting, and high-volume scheduling demands
- Excellent organizational, multitasking, and prioritization skills with strong attention to detail
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Confident communicator with a professional presence and the ability to build relationships across all levels of an organization
- Resourceful, proactive professional who thrives in a fast-paced, deadline-driven environment

- Up to $125K base salary plus paid overtime and bonus opportunity
