Executive Assistant to $105K – High-Impact Role Supporting Senior Executives!

Our client, a respected academic institution, is seeking an Executive Assistant who thrives on autonomy and problem solving. From balancing competing schedules to coordinating travel, communications, and office operations, this position is a critical support role to senior leadership. The ideal candidate brings 7+ years of high-level administrative experience and the confidence to operate independently with sound judgment and discretion.

Position Details:

  • Responsibilities include managing multiple, complex calendars across internal and external stakeholders; coordinating domestic and international travel with detailed itineraries and follow‑through; serving as the primary point of contact and gatekeeper for senior leadership; drafting, editing, and managing confidential correspondence and materials; tracking priorities, commitments, and action items to ensure timely execution; coordinating logistics for meetings, speaking engagements, and on‑campus events; preparing briefing materials and organizing sensitive documents; processing expense reports, purchase orders, and financial documentation; and overseeing office operations including supplies, facilities coordination, and technology troubleshooting.
  • The ideal candidate possesses 7+ years of executive administrative experience within academia, government, or a large organization; proven ability to anticipate needs and proactively manage shifting priorities; exceptional organizational, communication, and interpersonal skills; strong judgment and discretion when handling confidential information; advanced proficiency with Microsoft Office and expense management systems such as Concur, with comfort learning new technologies; ability to remain calm and effective under pressure while juggling competing demands; and a collaborative yet self‑directed working style.
