Corporate Legal Assistant
An established law firm is seeking a Corporate Legal Assistant to join its Chicago office, supporting attorneys in corporate, M&A, and investment management matters. This is a full-time opportunity within a growing, fast-paced environment.
This role will work closely with attorneys, including partners, to manage administrative and transactional support tasks and help keep workflows organized and running smoothly.
The position follows a hybrid schedule, with four days in-office each week.
The salary range for this position is $80,000-$100,000, with flexibility for more experienced candidates.
Key Responsibilities:
- Manage attorney calendars, scheduling meetings, and ensuring attorneys are prepared for upcoming commitments
- Draft, edit, proofread, and format legal documents and correspondence
- Coordinate meetings, conference calls, and events across multiple time zones, including logistics and setup
- Arrange domestic and international travel, including detailed itineraries and agendas
- Assist with client billing, time entry, expense reports, and new matter intake requests
- Maintain and organize client files within the document management system
- Handle phone calls, messages, and general administrative support tasks
- Coordinate incoming and outgoing mail, filings, and document distribution
- Maintain client contact lists and assist with research requests
- Track and assist with CLE requirements
- Provide support for reception, conference services, and office operations as needed
- Assist with facilities-related requests and general office support
- Coordinate with internal departments including IT, Finance, Marketing, and Office Services
Qualifications:
- 5+ years of legal assistant or legal secretarial experience required, ideally within corporate or transactional law
- Experience supporting partners strongly preferred
- Strong proficiency in Microsoft Word, including advanced formatting and document management
- Experience with legal software such as NetDocuments, ChromeRiver, InterAction, Intapp, or similar
- Excellent organizational skills and ability to manage multiple priorities
- Strong communication skills and attention to detail
- Ability to work both independently and within a team environment
- Ability to thrive in a fast-paced environment and manage shifting priorities
