A prestigious and fast-paced professional services firm is seeking a detail-oriented Payroll & Benefits Specialist to support daily Human Resources operations. This role is responsible for coordinating payroll, administering employee benefits, and maintaining accurate personnel records while handling sensitive information with the highest level of discretion. The ideal candidate thrives in a collaborative environment and brings strong knowledge of California employment practices.
Key Responsibilities
Benefits Administration
- Manage employee benefits lifecycle, including enrollments, changes, and terminations
- Partner with HR leadership to support open enrollment planning, communications, and execution
- Serve as primary liaison with benefits providers on eligibility, billing, and claims matters
- Maintain accurate benefits records and prepare reports for internal tracking and audits
- Respond to employee inquiries related to benefits programs with professionalism and clarity
- Coordinate COBRA administration and ensure timely processing
Human Resources Support
- Maintain and update employee personnel files in compliance with firm policies and legal requirements
- Support onboarding and offboarding processes, ensuring a seamless employee experience
- Provide administrative support across HR and Finance projects and initiatives
Payroll Coordination
- Assist with bi-monthly payroll processing and review timecards for accuracy and completeness
- Maintain payroll records and update employee compensation and deductions in HRIS
- Partner with external payroll providers (ADP) to ensure timely and accurate payroll execution
- Support year-end payroll activities, including W-2 processing and distribution
- Respond to employee payroll-related questions and resolve discrepancies as needed
Qualifications
- Demonstrated ability to handle confidential information with discretion
- Strong working knowledge of California payroll laws, HR practices, and benefits administration
- High attention to detail with excellent organizational and time management skills
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Ability to manage competing priorities and meet deadlines in a fast-paced environment
- Strong communication skills, both written and verbal
- Ability to work independently while collaborating cross-functionally
Preferred:
- Experience with ADP Workforce Now or similar payroll systems
- Familiarity with HRIS platforms and integrated payroll systems
