The Opportunity
The firm is seeking a highly experienced Executive Assistant to provide leave coverage for an Executive Assistant supporting a senior executive during a period of leadership transition. Continuity, discretion, and seamless integration are critical to the success of this role.
The incoming Executive Assistant will overlap with the incumbent to ensure a smooth handoff and will provide coverage through the duration of the leave. This role requires someone who can quickly earn trust, operate with minimal direction, and manage highly sensitive information.
Key Responsibilities
- Provide senior-level executive administrative support with the highest level of professionalism and confidentiality
- Manage complex, ever-changing calendars across multiple time zones and stakeholders
- Coordinate extensively with senior leaders across the organization, requiring strong cross-functional communication
- Anticipate needs and proactively manage priorities to keep the executive focused and prepared
- Prepare the executive for meetings, including:
- Agenda development
- Briefing materials
- Drafting correspondence and documents
- Create and edit presentation decks
- Manage and organize a high-volume inbox, including drafting responses and flagging priorities
- Coordinate domestic travel arrangements, working directly with executive preferences in the absence of a centralized travel service
- Provide limited personal coordination directly related to professional obligations (e.g., awareness of family schedules and travel coordination when relevant)
- No personal errands or non-business activities
Ideal Candidate Profile
- 5-10+ years of experience supporting senior executives in an Executive Assistant capacity
- Proven ability to operate at a strategic level while managing day-to-day execution
- Exceptionally strong communication skills, follow-through, and attention to detail
- Demonstrated discretion and experience handling confidential information
- Highly organized, proactive, and calm in fast-paced environments
- Comfortable working across time zones and with senior leadership teams
- Background in professional services, financial services, or similarly complex environments preferred
- Able to integrate into an established working style while exercising sound independent judgment
