Beacon Hill Associates is hiring for an Assistant Facilities Manager to support day-to-day facilities operations within a professional corporate environment.

Assignment Details

Hours: Monday-Friday, 7:30a-4:30p, 30-minute lunch
Assignment: Contract
Pay Rate: $27-$28hr


Position Summary

The Assistant Facilities Manager supports the delivery of best-in-class facilities management services within a corporate client environment. This role plays a key part in maintaining a safe, efficient, and responsive workplace by supporting daily facility operations, vendor performance, client service delivery, and compliance initiatives.


Day-to-Day Responsibilities

Administrative Support & Facility Operations

  • Provide operational and administrative support to the facilities management team.
  • Assist with tactical planning aligned with site goals and operational objectives.
  • Support daily facility operations across assigned buildings or campus environments.
  • Manage and maintain facility-related administrative tasks and documentation.
  • Coordinate meeting logistics, conference room scheduling, and event support.
  • Assist in scheduling preventive maintenance and planned facility activities.
  • Manage and track work orders within the CMMS platform, including follow-up and closure.
  • Monitor facilities to identify operational concerns and service needs.

Client Service & Relationship Management

  • Deliver high-quality facilities support aligned with business operations.
  • Serve as a point of contact for client stakeholders, visitors, and service providers.
  • Ensure timely follow-up and resolution of service requests and operational issues.
  • Coordinate with vendors and service providers to ensure work is completed efficiently and with minimal disruption.
  • Maintain strong working relationships with internal teams and client representatives.

Financial & Program Support

  • Assist in developing and implementing operational programs and procedures.
  • Support preparation of monthly and quarterly budget variance reports.
  • Assist with development and execution of annual management plans for assigned facilities.
  • Support expense tracking, accruals, financial analysis, and budget reporting.
  • Monitor operational spending trends and research budget variances.

Compliance, Safety & Vendor Management

  • Support compliance with operational standards, policies, and client procedures.
  • Monitor Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Evaluate vendor performance and coordinate service improvements when needed.
  • Support safe work practices and ensure adherence to safety procedures and regulatory requirements.
  • Assist with implementing hazard control measures and promoting a strong safety culture.

Risk Management & Emergency Preparedness

  • Assist with maintaining and updating emergency response plans and preparedness activities.
  • Support after-hours facility response and escalation when necessary.
  • Assist with operational audits, site inspections, and compliance reviews.
  • Escalate service failures, incidents, and operational risks appropriately.
  • Support business continuity and risk mitigation initiatives.

Ideal Candidate Background

  • 2+ years of experience in facilities management, property operations, workplace services, or a related field.
  • Experience supporting vendor management, client-facing services, and soft services operations.
  • Familiarity with CMMS platforms such as Corrigo or similar systems.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Working knowledge of budgeting processes, variance reporting, and financial tracking.
  • General understanding of building operations, maintenance coordination, safety practices, and compliance requirements.
  • Proficiency with Microsoft Office Suite and workplace technology tools.
