Procurement Operations & Intake Specialist (Technology) – Contract-to-Hire
Location: Lakeville, MN (Hybrid)
Type: Contract-to-hire (preferred), full-time hours
Target Start: ASAP
Why this role exists
Our client’s procurement function is newly formed and has quickly gained visibility across the organization. Demand has increased significantly, creating pressure across contract visibility, renewals, intake triage for technology-related requests, vendor management, and cross-functional coordination (Legal, Security, Finance, IT, Product).
This role is designed to reduce strain on the current single-contributor model, stabilize day-to-day execution, and help pilot/improve intake and procurement workflows-especially as the team prepares for near-term regulatory/audit remediation and works to centralize visibility into active contracts, SLAs, renewals, and key terms.
Role summary
This is a mid-level, hands-on role focused on:
- Procurement operations and renewals support
- Front-door intake triage for technology-related requests
- Coordinating across Procurement, Legal, Security, IT, Product, and Finance
This is not a pure administrative role and not a senior strategic negotiator role. The best fit is someone comfortable operating in the middle-tactical, organized, and able to apply judgment in a fast-moving environment.
What you’ll do
Procurement Operations & Vendor Support (Primary)
- Support software and services contract renewals
- Process straightforward renewals (same scope/pricing/licenses; low YoY increases)
- Assist with purchase order creation (ServiceNow-based; teachable)
- Document and maintain contract and vendor records, including:
- Contract terms and key obligations
- Renewal dates and timelines
- SLAs and service commitments
- Termination clauses and notice periods
Intake Triage / Request Qualification
- Serve as the initial “human filter” for new technology intake requests
- Help determine whether requests are: new purchase vs. enhancement vs. change to an existing product
- Identify which stakeholders need to be involved (Procurement, Legal, Security, Infrastructure, Architecture, etc.)
- Reduce unnecessary reviews that slow teams down by applying sound judgment and routing requests appropriately
- Partner closely with key cross-functional counterparts (e.g., product and legal/process stakeholders)
Process Enablement (Secondary)
- Help pilot and refine intake and procurement workflows as the function scales
- Provide feedback on ServiceNow configuration and identify system/process gaps
- Support documentation once processes stabilize (future-state documentation vs. documenting broken processes)
What we’re looking for
Must-haves
- 4-8 years of experience in procurement, vendor management, portfolio operations, or IT sourcing
- Experience supporting technology contracts (software, SaaS, IT services)
- Comfort working cross-functionally with Legal, Finance, Security, and IT
- Ability to distinguish and apply judgment around:
- New purchase vs. enhancement vs. renewal
- When stakeholder involvement is truly needed vs. when it adds friction
Nice-to-haves
- Prior experience in technology procurement and/or vendor management
- Exposure to PMO/portfolio intake, gating, or request triage processes
- ServiceNow exposure (not required; teachable)
Critical soft skills
- Comfortable with ambiguity and a quickly growing organization
- Patient, adaptable, and process-minded without being rigid
- Able to work independently
- Strong communication and judgment; able to push back when reviews aren’t necessary
Work environment
- Hybrid role based in Lakeville, MN (hybrid schedule/details aligned with team needs)
- Full-time hours with contract-to-hire preferred for the right fit
