Beacon Hill Associates is hiring for a Construction Administrative Assistant to support a busy finance and operations team within a fast-paced construction environment. This role is ideal for an organized, detail-oriented professional who enjoys administrative work, customer communication, and managing multiple tasks while maintaining accuracy.
Assignment Details
- Hours: Monday-Friday, 8:00 AM – 5:00 PM
- Flexible Schedule After Training: 7:00 AM – 4:00 PM or 9:00 AM – 6:00 PM
- Pay Rate: $20/hour
- Work Environment: Fully Onsite
Day-to-Day Responsibilities
Administrative Support
- Manage utility account disconnections for completed and occupied homes.
- Contact utility providers, municipalities, and county offices to process service changes.
- Track requests and maintain accurate records within spreadsheets and internal systems.
- Monitor and update project-related documentation and status reports.
Financial & Property Support
- Assist with property tax payment processing and verification.
- Review and update spreadsheets to ensure data accuracy.
- Verify coding and documentation related to financial transactions.
- Maintain organized records and supporting documentation.
Communication & Coordination
- Make a high volume of outbound calls to utility providers and government agencies.
- Follow up on outstanding requests and unresolved issues.
- Communicate updates to internal teams and stakeholders.
- Respond to inquiries and provide administrative support as needed.
Ideal Candidate Profile
- Strong organizational and multitasking abilities.
- Excellent customer service and communication skills.
- Comfortable making frequent outbound calls.
- Proficient with Microsoft Excel, including basic spreadsheet management and data tracking.
- Detail-oriented with strong follow-through skills.
- Ability to work independently while managing multiple priorities.
- Previous administrative, office support, customer service, construction, real estate, or property-related experience is a plus.
- Comfortable working in a fast-paced, evolving environment.
