Executive Assistant
Location: Downtown Minneapolis, MN 55402 (Full-Time Onsite)
Position Type: Contract-to-Hire
Schedule: Full-time, standard business hours (8:00 AM – 5:00 PM), with flexibility as needed
Overview
Beacon Hill’s client is seeking a highly polished and detail-driven Executive Assistant to serve as a critical partner to the CEO and President. This is a high-visibility, high-trust role for a professional who thrives in a fast-paced environment, takes full ownership of their work, and executes with precision.
You’ll support two senior leaders with distinct working styles, requiring strong adaptability, sound judgment, and the ability to anticipate needs before they arise. Success in this role means protecting executive time, ensuring seamless operations, and delivering flawless execution across every interaction.
This is a contract-to-hire opportunity and requires full-time, onsite presence in downtown Minneapolis (55402).
Key Responsibilities
Executive Calendar & Email Management
- Manage and prioritize complex calendars for the CEO and President, aligning schedules with business priorities and individual preferences
- Anticipate scheduling conflicts and proactively adjust to optimize executive time
- Oversee executive inboxes, draft correspondence, and ensure timely follow-up on all critical items
- Coordinate complex, multi-party meetings across time zones, including with senior stakeholders and external partners
Executive Preparation & Meeting Support
- Prepare detailed briefing materials for meetings, including attendee insights, agendas, and talking points
- Anticipate information needs and present materials in a clear, concise format
- Review pre-read materials for accuracy and completeness, proactively identifying gaps
Stakeholder Communication & Correspondence
- Serve as a professional point of contact for internal and external stakeholders
- Draft and finalize high-level communications with strong attention to tone, clarity, and audience
- Handle sensitive situations with discretion, professionalism, and sound judgment
Meeting & Event Coordination
- Coordinate logistics for meetings, off sites, and events, including venue selection, catering, and materials
- Welcome and manage visitors, including coordinating building access and security credentials
- Ensure all meeting logistics are executed seamlessly with attention to every detail
Administrative & Office Support
- Create and edit presentations and documents using Microsoft Office tools with accuracy and consistency
- Manage and submit expense reports in a timely and accurate manner
- Provide general office support as needed
- Maintain strict confidentiality across all sensitive business matters
Qualifications
- 5+ years of Executive Assistant experience supporting C-suite leaders
- Experience managing complex calendars for multiple executives simultaneously
- Exceptional written and verbal communication skills
- Strong business acumen and understanding of executive-level priorities
- High attention to detail with a commitment to accuracy and quality
- Proficiency in Microsoft Outlook, Teams, Word, PowerPoint, and Excel
- Ability to prioritize competing demands and act with urgency
- Bachelor’s degree in Business Administration or related field (or equivalent experience)
