Our client is seeking a service‑oriented Office Coordinator to support a high‑end New York office within a global private equity firm. The ideal candidate is warm, proactive, and thrives in a “white‑glove” environment while acting as the go‑to person for the office. Hours are 8:30am-5:30pm, fully onsite five days per week.

Key Responsibilities:

  • Serve as the primary front‑of‑house presence, creating a welcoming, high‑touch experience for employees and guests
  • Manage conference room scheduling, catering, and meeting logistics
  • Coordinate and execute internal events, team gatherings, and office activations
  • Partner with internal teams to support meetings and office initiatives
  • Oversee pantry, lunch programs, snacks, and office amenities
  • Maintain office presentation, ensuring spaces are clean, stocked, and client‑ready at all times
  • Liaise with building management and vendors for facilities needs and repairs
  • Manage visitor registration, access, and overall guest experience
  • Track and coordinate vendors, invoices, and service requests
  • Support onboarding logistics and employee experience initiatives
  • Act as a “catch‑all” for office needs and ad hoc projects

Qualifications:

  • 3+ years of experience in office coordination, reception, or hospitality
  • Background in high‑end hospitality or professional services strongly preferred
  • Strong communication skills with a polished, client‑facing demeanor
  • Highly organized with strong attention to detail
  • Proactive, self‑starter mindset with ability to take ownership
  • Comfortable interacting with senior stakeholders and a wide range of personalities
  • Ability to multitask and operate in a fast‑paced environment
  • Proficiency in Microsoft Office and general systems
  • Bachelor’s degree required
