Position Overview

The Billing Coordinator / Billing Specialist will play a key role in supporting attorney billing operations, e-billing submissions, and overall billing team initiatives.

This position requires someone who is:

  • Willing to step in and support the broader team as priorities shift

Depending on experience, this role will support approximately 15-20 attorneys.

Key Responsibilities

Billing & Invoice Management

  • Prepare, edit, and process legal invoices
  • Review and audit draft invoices for accuracy and compliance
  • Ensure adherence to client billing guidelines and pricing arrangements
  • Finalize invoices and prepare submission packages

E-Billing & Compliance

  • Submit invoices through e-billing platforms
  • Resolve invoice rejections and billing discrepancies
  • Ensure compliance with client-specific billing requirements

Auditing & Data Review

  • Conduct audits of bills and client matters
  • Review expense reports and pull supporting documentation (e.g., receipts)
  • Perform time transfers and data corrections as needed

Collaboration & Support

  • Partner with attorneys and billing team on revisions and adjustments
  • Serve as a point of contact for billing inquiries (depending on experience level)
  • Assist with monthly reporting and accruals where applicable

Team Support & Projects

  • Support special billing projects and process improvements
  • Step in to assist other billers as workload demands
  • Maintain organized billing documentation and records

Accounts Receivable (A/R) Support

  • Monitor outstanding balances
  • Assist with follow-ups on billing and collections issues

Required Qualifications

  • 1-3 years of legal billing experience
  • Experience working within an e-billing hub/platform
  • Strong Excel skills (VLOOKUPs, pivot tables)
  • Ability to thrive in a fast-paced law firm environment
  • Strong attention to detail and organizational skills
  • Effective communication and interpersonal skills
  • Flexible mindset with a team-oriented approach
