Beacon Hill is seeking a professional and detail-oriented Front Desk Coordinator / Office Administrator to support daily office operations in a fast-paced, client-facing environment. This role is responsible for managing reception, coordinating office functions, assisting with onboarding, and ensuring a polished and welcoming experience for all guests and employees.

Position Details

  • Job Type: Contract (open-ended)
  • Pay Rate: $20/Hour
  • Schedule: Monday-Friday, 8:00 AM – 5:00 PM (1-hour lunch)
  • Work Arrangement: Onsite (5 days/week)

Key Responsibilities

  • Manage front desk operations, including answering and directing incoming calls
  • Greet and welcome clients and guests in a professional manner
  • Coordinate meeting logistics, including conference room setup and refreshments
  • Maintain a clean, organized, and professional office environment
  • Oversee vendor coordination and communicate with building management as needed
  • Assist with onboarding logistics for new hires and contractors
  • Handle incoming and outgoing mail, including sorting and distribution
  • Order and maintain office supplies and inventory
  • Provide administrative and operational support across the office
  • Support ad hoc projects and tasks as needed

Systems & Tools

  • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Qualifications

  • Prior front desk, receptionist, or administrative experience
  • Professional, polished, and client-facing demeanor
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Reliable, punctual, and team-oriented
  • Interest in administrative operations and process improvement
  • Bachelor’s degree preferred, but not required
