Position: Temporary Executive Assistant
Location: Boston, MA (100% onsite)
Schedule: Monday-Friday, 8:30 AM – 5:30 PM
Compensation: $35/hour temporary; approximately $80,000-$83,000 upon conversion
Duration: Temporary with potential for permanent hire
Start: ASAP
Overview
A highly regarded mission-driven professional services organization is seeking an experienced Executive Assistant to support senior leadership in a fast-paced, client-focused environment. This role is ideal for a polished administrative professional who thrives on managing complex schedules, coordinating extensive travel, and serving as a trusted partner to multiple executives.
The Executive Assistant will be an integral member of a collaborative administrative team, providing high-level support while contributing to broader office operations and special projects.
Key Responsibilities
Executive Support & Communications
- Serve as a primary point of contact and representative for senior executives
- Coordinate client and internal communications via phone and email
- Draft, proofread, and prepare correspondence, presentations, reports, and other business documents
- Maintain contact management and organizational systems
- Screen and route calls, correspondence, and other communications appropriately
- Manage electronic and physical files and records
Calendar Management
- Coordinate complex calendars and scheduling across multiple stakeholders
- Resolve scheduling conflicts and proactively prioritize executive commitments
- Arrange meeting logistics including conference rooms, catering, presentation materials, and audiovisual needs
- Anticipate scheduling challenges and recommend solutions
Travel Coordination
- Manage comprehensive domestic and international travel arrangements
- Coordinate flights, hotels, ground transportation, and detailed itineraries
- Adjust travel plans as needed and communicate changes efficiently
- Support executive teams traveling together by coordinating logistics and group arrangements
- Assist with travel documentation, visas, and related requirements when necessary
Administrative & Operational Support
- Prepare and submit expense reports and administrative documentation
- Coordinate meetings, retreats, events, and special gatherings
- Collaborate closely with other administrative professionals to ensure seamless team coverage and support
- Conduct research and assist with special projects as needed
- Support data tracking, correspondence management, and other operational initiatives
Qualifications
- Bachelor’s degree or equivalent professional experience preferred
- 5+ years of executive assistant or high-level administrative support experience
- Experience supporting multiple executives simultaneously
- Prior experience within professional services, consulting, legal, finance, or similarly fast-paced environments strongly preferred
- Advanced Outlook and calendar management skills required
- Extensive domestic and international travel coordination experience
- Exceptional written and verbal communication skills
- Strong organizational skills and attention to detail
- Proven ability to prioritize competing demands and manage multiple projects simultaneously
- Ability to handle confidential information with discretion and professionalism
- Calm, resourceful, and solutions-oriented under pressure
- Highly adaptable with strong judgment and a proactive approach to support
