Assistant Property Manager
Location: New York, NY (On-site, Full-Time)
Schedule: Monday – Friday, 8:30 AM – 5:00 PM (1-hour paid lunch)
Pay Rate: $30 – $32/hour DOE
Position Type: Contract-to-Hire (approximately 90 days)
Start Date: August 17th

Position Overview

We are seeking an experienced Assistant Property Manager to support the day-to-day operations of a commercial office property. This role is ideal for a professional with a strong background in commercial property management, tenant relations, and property accounting. The Assistant Property Manager will work closely with tenants, vendors, and building engineers while assisting with financial reporting, lease administration, maintenance coordination, and overall property operations.

Key Responsibilities

  • Serve as the primary point of contact for tenant inquiries, service requests, and building-related concerns.
  • Assist with the financial management of the property, including invoice processing, budget tracking, expense management, and financial reporting.
  • Support monthly, quarterly, and annual financial reporting requirements.
  • Coordinate work orders, maintenance projects, and vendor services to ensure efficient building operations.
  • Conduct routine property inspections to identify maintenance, operational, and safety concerns.
  • Assist with lease administration, tenant move-ins/move-outs, and record management.
  • Prepare and support annual operating budgets and expense reconciliations.
  • Assist with operating expense (OPEX) reconciliations, real estate tax calculations and true-ups (RETAX), and sales tax filings.
  • Foster positive tenant relationships through responsive communication and effective problem-solving.
  • Support tenant events, building communications, and engagement initiatives.
  • Ensure compliance with property management agreements, company policies, and local regulations.

Required Qualifications

  • Bachelor’s degree in Business Administration, Real Estate, Communications, Finance, or a related field.
  • Minimum of 3 years of commercial property management experience.
  • Minimum of 3 years of experience supporting property accounting and financial operations.
  • Strong experience with budgeting, invoicing, financial reporting, and expense management.
  • Knowledge of OPEX reconciliations, RETAX calculations, quarterly sales tax filings, and annual budget preparation.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong customer service and tenant relations experience.
  • Ability to obtain a Real Estate License within six months of employment.
  • Excellent written and verbal communication skills.

Preferred Qualifications

  • Active Real Estate Salesperson License.
  • Experience with Yardi Voyager strongly preferred.
  • Experience using MRI or other commercial property management software.
  • Familiarity with commercial office property operations and financial reporting.

Ideal Candidate

The ideal candidate will bring a strong combination of commercial property management experience and financial acumen. They will have hands-on experience managing property accounting functions, including operating expense reconciliations, real estate tax true-ups, budgeting, and financial reporting. Success in this role requires excellent tenant service skills, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced commercial real estate environment.
