We are seeking a highly organized and proactive Facilities Coordinator to support the day-to-day operations of our facility. This role will serve as a key onsite resource, coordinating maintenance activities, managing vendor relationships, tracking work orders, and ensuring the facility remains safe, functional, and well-maintained.

The ideal candidate is detail-oriented, comfortable working independently, and possesses strong communication and administrative skills.

Key Responsibilities

Work Order & Facilities Support

  • Identify facility issues and maintenance needs throughout the site
  • Submit and track work orders through the facility management system
  • Provide status updates on open and completed work orders
  • Monitor work order progress and maintain accurate records
  • Escalate concerns and unresolved issues to Facilities Management as needed

Vendor Coordination

  • Coordinate access for vendors and contractors performing work onsite
  • Meet vendors onsite when necessary and provide site support
  • Take photos and videos of facility issues and completed work to share with stakeholders
  • Validate completion of vendor work in partnership with Facilities Management
  • Review vendor performance and quality of work

Facility Operations

  • Coordinate routine maintenance and repairs involving:
    • HVAC systems
    • Electrical systems
    • Plumbing
    • General building maintenance
  • Support cleaning, landscaping, and security services
  • Assist with internal office moves and workspace reconfigurations

Administrative Support

  • Maintain facility records, compliance documents, and service contracts
  • Assist with scheduling, procurement, and budget tracking
  • Manage facilities-related inventory and order supplies as needed
  • Ensure critical stock levels are maintained for facility operations

Safety & Compliance

  • Support compliance with health, safety, and regulatory requirements
  • Assist with emergency preparedness and occupational safety initiatives
  • Help maintain a safe and efficient work environment for employees and visitors

Support Services Coordination

  • Liaise with internal staff and external service providers
  • Coordinate support services including:
    • Catering
    • Cleaning services
    • Parking
    • Security
