Communications Analyst (Part-Time Contract)

Position Overview

We are seeking a part-time Communications Analyst to support internal communications operations and content management initiatives. This role will primarily focus on maintaining and managing internal email distribution lists, supporting employee communications campaigns, and assisting with the organization and maintenance of communication-related databases and content libraries.

The ideal candidate will have experience working with email marketing or communications platforms such as Thrive Marketing (formerly Informz), Mailchimp, Constant Contact, HubSpot, Campaign Monitor, Salesforce Marketing Cloud, or similar tools. Strong attention to detail, organizational skills, and experience supporting communications teams are essential.

This is a part-time contract opportunity averaging approximately 20 hours per week, Monday through Friday from 8:00 AM to 12:00 PM.

Key Responsibilities

Distribution List Administration

  • Build, maintain, and update internal communication distribution lists.
  • Process additions, removals, and updates to mailing lists and audience groups.
  • Ensure list accuracy, consistency, and compliance with internal communication standards.
  • Support communications teams in preparing targeted distribution groups for internal campaigns and newsletters.
  • Maintain audience segmentation and recipient databases within communication platforms.
  • Troubleshoot and advise on distribution list build.

Communications Data Management

  • Support the ongoing development and maintenance of communications-related databases.
  • Maintain newsletter tracking information including points of contact, publication schedules, ownership, and communication cadences.
  • Assist with the organization and upkeep of internal communications records and documentation.
  • Perform data entry and quality assurance activities to ensure information remains current and accurate.

SharePoint Content Administration

  • Support the continued buildout and maintenance of the organization’s SharePoint-based content library.
  • Organize and manage communication content including key messages, audience information, ownership details, timelines, and supporting documentation.
  • Update content repositories and ensure information is properly categorized and accessible.
  • Partner with communications stakeholders to maintain accurate and consistent messaging information.

General Communications Support

  • Assist internal communications teams with operational and administrative tasks.
  • Support the execution of communication initiatives as needed.
  • Identify opportunities to improve processes, organization, and data quality.

Required Qualifications

  • 2+ years of experience supporting internal communications, marketing communications, communications operations, or related functions.
  • Experience managing email distribution lists, mailing databases, or communication audiences.
  • Experience with email marketing or mass communications platforms.
  • Strong data entry, recordkeeping, and organizational skills.
  • Experience working within SharePoint environments.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities independently.
  • Experience handling PII.
  • Familiarity with audience segmentation and newsletter management.
  • Openness to using AI.
  • Experience working with Microsoft products.
