Executive Assistant

Location: Hybrid in Minneapolis, MN

Work Arrangement: Full-time onsite during training; hybrid schedule thereafter (Tuesday-Thursday onsite, Monday and Friday remote)
Employment Type: Long-Term Contract with Potential to Convert to Contract-to-Hire
Compensation: $80,000 – $95,000 annually, depending on previous experience
Schedule: Monday-Friday, regular business hours

About the Opportunity

Beacon Hill’s client is seeking a highly organized and proactive Executive Assistant to support a Regional Executive Vice President in a visible, fast-paced environment. This individual will serve as a trusted business partner, helping to manage priorities, coordinate communications, and ensure the seamless execution of daily operations.

This role offers the opportunity to work closely with senior leadership while interacting with stakeholders across regional and global teams. The ideal candidate is polished, professional, detail-oriented, and capable of building credibility quickly while managing competing priorities with discretion and confidence.

Key Responsibilities

  • Manage a complex and dynamic Executive Vice President calendar, ensuring alignment with business priorities and strategic initiatives.
  • Coordinate and prioritize internal and external meetings, proactively resolving scheduling conflicts and balancing competing demands.
  • Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.
  • Serve as a primary point of contact for internal and external stakeholders, supporting executive communications and engagement activities.
  • Screen, prioritize, and respond to inquiries while maintaining professionalism and confidentiality.
  • Partner with Global Executive Assistants and leadership teams to coordinate meetings, events, and executive requests.
  • Support executive leadership and senior leadership team activities by managing communications and follow-up items.
  • Assist with expense reporting, invoice processing, purchase requests, and other administrative functions.
  • Coordinate meeting logistics, catering arrangements, conference room scheduling, and event support.
  • Provide office management assistance and ensure records, documents, and files remain organized and accessible.
  • Handle highly confidential information with professionalism, sound judgment, and discretion.
  • Contribute to a collaborative team environment and provide additional administrative support as business needs evolve.

Qualifications

  • Previous experience working in an Executive Assistant capacity for a global is required.
  • Associate’s or Bachelor’s degree preferred.
  • 3+ years of experience supporting senior executives, preferably at the Vice President, Executive Vice President, or C-suite level.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Teams.
  • Demonstrated expertise in executive calendar management, travel coordination, and meeting scheduling.
  • Exceptional organizational, prioritization, and multitasking skills.
  • Strong written and verbal communication abilities.
  • Ability to work effectively in a fast-paced, high-visibility environment.
  • Proven ability to manage confidential information with discretion and professionalism.
  • Strong attention to detail and a proactive, solution-oriented mindset.
