Executive Assistant / Event Coordinator

Location: Chanhassen, MN (100% Onsite)
Schedule: Full-Time, Monday-Friday
Pay: $33-$40 an hour (DOE)
Duration: 12-Week Contract (Leave of Absence Coverage) with Potential for Extension

About the Opportunity

Beacon Hill is partnering with a premier Twin Cities organization to identify an experienced Executive Assistant / Event Coordinator for a full-time, fully onsite opportunity in Chanhassen, MN. This position will provide high-level administrative support to senior leadership while overseeing the planning and execution of employee engagement events, leadership meetings, and company initiatives.

This is a 12-week contract assignment covering a leave of absence, with the potential for extension based on business needs. The ideal candidate is a polished professional with strong executive support experience, exceptional organizational skills, and a proven ability to manage events from conception through execution.

Key Responsibilities

Executive Assistant Functions

  • Provide administrative support to senior leaders and key stakeholders.
  • Manage calendars, meeting coordination, communications, and special projects.
  • Prepare presentations, reports, and meeting materials.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Serve as a backup to HR and reception functions as needed.

Event Coordination Functions

  • Lead the planning and execution of internal and external events, meetings, and employee engagement initiatives.
  • Manage event timelines, project plans, logistics, budgets, vendor relationships, communications, and reporting.
  • Coordinate virtual, hybrid, and in-person events from start to finish.
  • Partner with Human Resources and leadership teams to develop event communications and employee engagement strategies.
  • Oversee venue setup, room layouts, audiovisual requirements, catering, supplies, and event materials.
  • Provide hands-on support during events to ensure flawless execution and an exceptional attendee experience.
  • Coordinate community involvement and corporate social responsibility events as needed.
  • Maintain and communicate an annual company events calendar.

Qualifications

  • Associate degree required; Bachelor’s degree preferred.
  • 5+ years of executive administrative support experience, including professional event planning and coordination.
  • Experience supporting senior executives and leadership teams.
  • Strong project management, organizational, and multitasking abilities.
  • Excellent communication and relationship-building skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Advanced computer proficiency, including Google Workspace and Microsoft Office; Mac experience preferred.
  • Exceptional attention to detail and commitment to delivering a high-quality employee experience.
