Facilities Coordinator (Part-Time Contract)

Beacon Hill’s Client is seeking a detail-oriented and proactive Facilities Coordinator to support daily facilities operations at their Miami location. This is an excellent opportunity for a professional who enjoys coordinating vendors, maintaining building operations, and fostering strong relationships with internal and external stakeholders. The ideal candidate is organized, self-motivated, and able to thrive in a fast-paced environment while ensuring a safe and efficient workplace.

Position Details

  • Location: Miami, FL
  • Work Arrangement: Full-time Onsite
  • Schedule: 25 hours per week
    • Monday through Friday
    • 8:00 AM to 1:00 PM
  • Employment Type: Contract through the beginning of January 2027
  • Compensation: $24.00-$27.00/hour, based on experience

Key Responsibilities

  • Coordinate and provide day-to-day support for a small team of multi-skilled facilities staff while helping ensure quality performance and service delivery.
  • Build and maintain positive working relationships with clients, property management teams, landlords, service providers, and other key stakeholders.
  • Assist with overseeing on-site contractors to ensure work is completed according to established standards and expectations.
  • Support vendor selection efforts and help source services as operational needs arise.
  • Participate in financial administration activities, ensuring facility-related transactions and processes are completed accurately and on schedule.
  • Manage purchase order activity within the organization’s financial management system to ensure timely processing and tracking.
  • Contribute to monthly accrual reporting and assist with monitoring financial records and expense trackers.
  • Perform routine building inspections, operational audits, and safety reviews while supporting compliance with facility procedures and performance standards.
  • Assist with maintaining risk management initiatives and implementing industry best practices related to property operations.
  • Help ensure the facility remains clean, organized, functional, and professionally maintained.
  • Support business continuity and disaster recovery planning efforts and assist with ongoing program monitoring.
  • Follow established incident management and escalation procedures when issues arise.
  • Prepare information for reports and assist with special projects and administrative tasks as needed.
  • Help achieve departmental service standards, performance goals, and contractual commitments.

Qualifications

  • Bachelor’s degree in a related field.
  • Strong working knowledge of Microsoft Word, Excel, and Outlook.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Self-starter with a positive, energetic, and professional attitude.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities, remain flexible, and perform well under pressure.
