Schedule: Monday-Friday, regular business hours

Compensation: $105,000-$155,000 annually

Position Overview

Beacon Hill’s client is seeking an experienced Executive Assistant to support the Chief Human Resources Officer (CHRO) and provide administrative support to the broader Human Resources Leadership Team (HRLT). This is a senior-level executive support position designed for someone who thrives in a fast-paced environment, anticipates needs, manages competing priorities, and handles highly confidential information with exceptional discretion.

The Executive Assistant will play a critical role in keeping the CHRO’s schedule, meetings, communications, and administrative priorities organized and moving forward. This position does not make decisions on behalf of the CHRO or own functional HR responsibilities. Instead, the role ensures leaders are prepared, organized, and able to focus their attention on the organization’s highest-priority initiatives.

Success in this position requires outstanding attention to detail, sound judgment, proactive problem-solving skills, and the ability to maintain confidentiality at the highest level.

Key Responsibilities

Executive Support

  • Oversee a complex and frequently changing executive calendar, ensuring scheduling decisions align with organizational priorities while protecting time for critical work.
  • Arrange domestic and international travel, including coordinating schedules and related logistics.
  • Process expenses and manage administrative follow-up with a high degree of accuracy and discretion.
  • Develop and organize briefing documents, meeting packets, pre-reads, and other materials needed for internal and external engagements.
  • Monitor and prioritize incoming communications and prepare correspondence on the CHRO’s behalf.
  • Organize leadership meetings and executive engagements, coordinating schedules and logistics while tracking agreed-upon follow-up items.

Board & Committee Coordination

  • Manage scheduling and meeting logistics for the Compensation & Talent Committee.
  • Coordinate closely with the CEO’s Executive Assistant to ensure timelines and material distribution remain aligned.
  • Partner with HR and Finance stakeholders to gather, format, and finalize materials for board-related meetings.
  • Maintain accurate version control and ensure finalized documents are reviewed and distributed securely and on schedule.
  • Keep organized records of meeting schedules, materials, and outstanding follow-up items.
  • Exercise exceptional confidentiality when working with sensitive information related to executive compensation, succession planning, and talent matters.

HR Leadership Team Support

  • Coordinate the HR Leadership Team’s recurring meeting schedule, including agenda preparation and collection of supporting materials.
  • Manage administrative logistics for Quarterly Business Reviews, including scheduling, meeting space, technology setup, pre-read distribution, notes, and action items for CHRO review.
  • Maintain organized documentation of HRLT meetings, materials, deadlines, and follow-up responsibilities.
  • Provide day-to-day administrative assistance to HRLT members, including calendar coordination, expense processing, and related support.
  • Keep shared calendars, key deadlines, leadership materials, and follow-up items current and easily accessible.

Meetings, Offsites & Employee Engagement

  • Organize HR All Hands meetings and other team forums, coordinating logistics, materials, and post-meeting follow-up.
  • Assist with the planning and execution of HRLT offsites, strategy sessions, and leadership planning meetings.
  • Coordinate employee engagement activities such as recognition events, team dinners, and happy hours as needed.
  • Manage event logistics, outside vendor coordination, and budget tracking for leadership and team events.

ERG Budget Administration

  • Assist with the administration and tracking of Employee Resource Group (ERG) budgets.
  • Work with ERG leaders to maintain documentation, monitor expenses, and track spending against annual allocations.
  • Prepare clear and accurate summaries of ERG spending for the CHRO.
  • Provide logistical coordination for ERG-sponsored events when needed.

Process Improvement

  • Identify opportunities to streamline processes, improve templates, reduce unnecessary handoffs, and make the CHRO’s office more efficient.
  • Leverage modern technology, including AI and automation tools, to reduce repetitive administrative work.
  • Proactively identify recurring challenges, risks, or workflow bottlenecks and bring potential solutions to the CHRO’s attention.
