Our client is seeking a highly capable, proactive Executive Assistant to support the Managing Director (Head of Investments) and one to two Vice Presidents within a fast‑growing private investment firm. This role is ideal for someone who thrives in a high‑velocity environment, anticipates needs, and operates as a true execution partner. Hours are typically 8:30/9:00am-6:00/6:30pm, fully onsite five days per week, with flexibility as business needs arise.
Key Responsibilities:
- Provide high‑level administrative support to the Managing Director and assigned Vice Presidents
- Manage complex, frequently changing calendars across internal and external stakeholders
- Coordinate extensive domestic and international travel, including multi‑city itineraries and real‑time adjustments
- Prepare and submit expense reports accurately and on time
- Act as a gatekeeper and liaison, screening calls and managing communication flow
- Support meeting logistics including agendas, materials, and coordination
- Assist with PR‑related calls, website updates, and preparation of marketing or investor materials
- Partner closely with other Executive Assistants to ensure seamless team support
- Support firmwide initiatives including holiday parties, strategy days, and conferences
- Assist with light office management responsibilities such as supply ordering
- Take initiative to identify issues, propose solutions, and keep priorities moving forward
Qualifications:
- 5+ years of Executive Assistant experience, ideally within financial services or a similarly demanding professional environment
- Proven ability to support senior executives in a fast‑paced, high‑growth setting
- Strong organizational skills with exceptional attention to detail
- Highly proactive, forward‑thinking, and comfortable operating independently
- Excellent written and verbal communication skills
- Strong judgment, discretion, and professionalism
- Team‑oriented mindset with a flexible, can‑do attitude
- Degree not required
Compensation/Benefits:
- $135K-$150K base salary range + discretionary bonus
