Our client is seeking a highly capable Executive Assistant to support the Healthcare investment team within a fast‑paced hedge fund environment. This role requires strong judgment, excellent organization, and comfort supporting a global team with heavy scheduling, travel, and coordination needs. Hours are 8:00am-6:00pm, with a hybrid schedule of four days onsite between their Greenwich, CT and NYC offices and one day remote.
Key Responsibilities:
- Provide comprehensive administrative support to the Healthcare team, with primary support to an Associate Portfolio Manager
- Manage multiple complex calendars across time zones, ensuring priorities are reflected and time is maximized
- Coordinate domestic and international travel including flights, accommodations, car services, and detailed itineraries
- Handle last‑minute travel changes and urgent requests, including off‑hours adjustments as needed
- Schedule and coordinate internal and external meetings, conference calls, and events
- Prepare, organize, and distribute meeting materials, pre‑reads, and follow‑up notes
- Maintain shared calendars and coordinate closely with other Executive Assistants across offices
- Prepare and reconcile expense reports accurately and in a timely manner
- Support event planning, conferences, and off‑sites including logistics, registration, catering, and AV
- Serve as a professional point of contact for senior internal and external stakeholders
- Assist with ad hoc projects and time‑sensitive initiatives requiring discretion and precision
Qualifications:
- 4-7+ years of Executive Assistant experience in a fast‑paced, global environment
- Experience supporting investment professionals or financial services teams preferred
- Bachelor’s degree required
- Exceptional organizational skills with strong attention to detail
- Strong written and verbal communication skills
- Ability to manage shifting priorities and remain calm under pressure
- High degree of discretion when handling confidential information
- Proactive, team‑oriented mindset with strong follow‑through
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; CRM familiarity a plus

- Up to $120K base salary + paid overtime + discretionary bonus
