Our client is seeking a highly adaptable, service‑oriented Floating Executive Assistant to provide flexible support across multiple teams within a global hedge fund environment. This role is ideal for someone with a “nothing‑beneath‑me” mentality who thrives on variety, moves easily between teams, and brings calm execution to fast‑changing priorities. Hours are 8:00am-6:00pm with a hybrid schedule of three days onsite and two days remote (Monday and Friday WFH).
Key Responsibilities:
- Provide comprehensive floating administrative support across multiple teams and global regions
- Step in as coverage for Executive Assistants as needed, managing calendars, meetings, and follow‑ups
- Coordinate complex domestic and international travel including flights, accommodations, car services, and itineraries
- Manage high‑volume, fast‑changing calendars across multiple time zones
- Handle last‑minute scheduling changes and urgent requests, including off‑hours adjustments when required
- Prepare, organize, and distribute meeting materials, pre‑reads, and follow‑up notes
- Process and reconcile expense reports accurately and on time
- Support event coordination including conferences, off‑sites, and visiting executive logistics
- Serve as a professional point of contact for senior internal and external stakeholders
- Maintain shared calendars and coordinate closely with the broader EA team
- Assist with ad hoc projects and time‑sensitive initiatives requiring discretion and flexibility
Qualifications:
- 4-7+ years of Executive Assistant experience in a fast‑paced, high‑volume environment
- Experience supporting multiple executives or teams preferred
- Bachelor’s degree required
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to juggle shifting priorities and remain composed under pressure
- High level of discretion when handling confidential information
- Flexible, positive, team‑first mindset with strong follow‑through
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; CRM familiarity a plus
