Our client is seeking a highly organized and proactive Executive Assistant / Personal Assistant to support senior leaders within a private investment firm. This is a newly created role supporting multiple Operating Partners and acting as a connective, culture‑carrying presence for a hybrid, consulting‑heavy team. The role requires strong judgment, flexibility, and comfort operating in a fast‑paced, high‑expectation environment. Hours are based on business needs, with flexibility built into the schedule. The position follows a 3/2 hybrid model in a Philadelphia‑suburb office, with openness to New Jersey‑based candidates who can maintain that cadence.

Key Responsibilities:

  • Provide executive‑level administrative support including complex calendar management, travel coordination, and expense reporting
  • Support up to five Operating Partners, with heavier support for one primary executive
  • Coordinate high‑volume meetings across time zones for a hybrid, geographically dispersed team
  • Manage domestic and international travel arrangements using Concur and travel agency partners
  • Prepare, submit, and reconcile expense reports accurately and in a timely manner
  • Draft, proofread, and edit professional communications including emails, memos, and correspondence
  • Serve as a liaison across teams, helping keep stakeholders aligned and informed
  • Support ad hoc projects, research, document preparation, and presentation formatting
  • Assist with planning and execution of team events, offsites, and recurring meetings
  • Provide backup administrative coverage to senior operations leadership as needed
  • Support light reception or office‑related tasks when required

Qualifications:

  • 3-5+ years of Administrative Assistant or Executive Assistant experience
  • Experience in private equity, financial services, consulting, or similarly fast‑paced professional environments preferred
  • Strong organizational skills with exceptional attention to detail and follow‑through
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Proactive, self‑directed working style with the ability to anticipate needs
  • Tech‑savvy with proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; familiarity with Concur a plus
  • Bachelor’s degree preferred but flexible with strong experience

Compensation/Benefits:

  • Up to $90K-$110K base salary + discretionary bonus
