Our client is seeking one or two high‑caliber Administrative Assistants to join the Client & Portfolio Solutions (CPS) team within a global credit investment firm. This is a fast‑paced, highly collaborative role supporting a large, investor‑facing group with heavy travel, scheduling, and coordination needs. The role is ideal for someone who enjoys team support, thrives in a high‑volume environment, and takes pride in strong execution. Hours are 8:30am-5:30pm with flexibility as needed, and the schedule is hybrid with Monday-Wednesday onsite and Thursday/Friday remote.
Key Responsibilities:
- Provide administrative support to 6-8 professionals across analyst through Managing Director levels
- Manage heavy internal and external meeting scheduling across time zones
- Coordinate complex domestic and international travel, preparing detailed itineraries
- Prepare and reconcile expense reports accurately and in a timely manner
- Track investor calls, meetings, prospect inboxes, and departmental processes
- Prepare meeting materials including presentations, books, and bios
- Support planning and execution of roadshows, conferences, and client events
- Partner closely with other CPS administrators to ensure seamless coverage and collaboration
- Assist with ad hoc projects including firmwide events, philanthropy initiatives, and brand‑related work
Qualifications:
- 3-6+ years of administrative or Executive Assistant experience
- Financial services, Investor Relations, or CPS experience strongly preferred but not required
- Demonstrated experience coordinating heavy travel and managing high‑volume calendars
- Strong organizational skills with exceptional attention to detail
- Team‑oriented mindset with a willingness to cross‑cover and support others
- Proficiency in Microsoft Office; Salesforce and Workday experience a plus
- Bachelor’s degree preferred
Compensation/Benefits:
- Up to $90K-$105K base salary + discretionary bonus + paid overtime
