Our client is seeking someone to provide executive support to their President & CEO, primarily on day-to-day administrative matters. It involves working for a globally recognized principal in a high-level and fast-paced environment and exercising a high-level of discretion.
RESPONSIBILITIES:
- Managing the President & CEO’s day-to-day schedule and movements in line with their priorities, including issuing meeting invitations, reminding attendees, rescheduling engagements as needed, and helping ensure the President & CEO’s schedule runs on time.
- Working closely with the President & CEO’s advisors and Asia Society’s managers and staff to ensure the President & CEO is fully prepared with requisite briefing materials for each engagement, and collating such material in an organized fashion where it is available.
- Making travel arrangements in accordance with the President & CEO’s preferences and Asia Society travel policy, preparing itineraries, liaising with external travel suppliers and providers, maintaining contact with staff while traveling, and troubleshooting as issues arise.
- Receiving and hosting physical visitors, fielding phone calls, and managing the President & CEO’s physical office and setup to work remotely as needed.
- Producing and handling written correspondence plus monitoring and assisting with electronic correspondence, determining its nature and urgency, coordinating internal advice as needed, and ensuring follow-up is noted.
- Supporting the President & CEO’s timely engagement with and responsiveness to trustees in consultation with the Director of Board Affairs & Strategic Engagement.
- Filing and reconciling the President & CEO’s expense reports.
- Maintain files and records-particularly of contacts and past exchanges-accurately.
- Aid in requisitioning office supplies, printing support, and related materials.
- As required, providing similar assistance in support of the President & CEO’s external roles, including with various other international institutions.
- Other duties as assigned by the Chief of Staff to the President & CEO.
REQUIREMENTS:
- Bachelor’s degree in a relevant field or equivalent experience
- Minimum 5-6 years of relevant experience
- Strong attention to detail and ability to multi-task
- Excellent communication skills – oral and written
- Cross-cultural understanding
- Excellent ability to leverage emotional intelligence
- Collaborative, team-player and results-oriented
