Our client is seeking a highly organized, tech‑savvy Administrative Assistant to support day‑to‑day operations within a fast‑growing, tech firm. This is an operations‑forward support, ideal for someone who enjoys process, coordination, and being a true multiplier for a deal team. Hours are approximately 10:00am-5:00pm with flexibility, and the role follows a hybrid schedule with three days onsite and two days remote.
Key Responsibilities:
- Support the deal team with administrative and operational coordination throughout active transactions
- Coordinate buyer outreach workflows, tracking responses and maintaining accurate prospect lists
- Schedule meetings and calls between sellers, buyers, and management teams across time zones
- Drive follow‑ups on due diligence items with buyers, sellers, lenders, and legal partners
- Maintain and organize virtual data rooms, including document uploads, naming conventions, and permissions
- Track milestones, action items, and next steps across multiple active deals
- Prepare and distribute NDAs, marketing materials, and transaction documents
- Support onboarding logistics for new hires, including equipment and system access
- Assist with internal events, offsites, and culture‑building initiatives
- Manage travel arrangements for the team as needed
- Provide general administrative support and assist with ad hoc operational projects
Qualifications:
- 2+ years of administrative, operations, or support experience in a professional environment
- Strong attention to detail with the ability to manage multiple moving parts simultaneously
- Highly tech‑forward and comfortable learning new platforms and tools quickly
- Proactive, ownership‑driven mindset with the ability to work independently
- Strong written and verbal communication skills, particularly in client‑facing correspondence
- High level of discretion when handling confidential information
- Proficiency in Google Workspace and Microsoft Office
- Experience with data rooms, CRM systems, or deal/project management tools a plus
- Bachelor’s degree required
Compensation/Benefits:
- Up to $90K base salary + discretionary bonus
