Our client is seeking a high‑energy, highly capable Executive Assistant to support the Head of a fast‑paced Capital Markets group within a large financial services organization. The environment is extremely dynamic, with constant changes, time‑sensitive requests, and a strong emphasis on teamwork. Hours are typically 8:30/9:00am-5:30/6:00pm with flexibility for overtime as needed, and the role follows a hybrid schedule with four days onsite.
Key Responsibilities:
- Provide executive‑level administrative support primarily to the Head of the Capital Markets group
- Manage high‑volume, constantly shifting calendars with strong prioritization and judgment
- Coordinate domestic and international travel, including itineraries and last‑minute changes
- Process expense reports accurately and on time
- Support interview coordination and onboarding logistics for new team members
- Serve as a reliable, professional point of contact for internal and external stakeholders
- Assist with inbound and outbound requests, routing appropriately and following through
- Partner closely with other Executive Assistants to ensure seamless coverage and communication
Qualifications:
- 3+ years of Executive Assistant experience
- Background in financial services preferred; open to adjacent, fast‑paced professional environments
- Confident, outgoing, and comfortable operating in an extremely fast‑moving setting
- Strong organizational and time‑management skills
- Ability to manage constant priority shifts without getting flustered
- Team‑oriented mindset with a “no job too big or too small” attitude
- Strong written and verbal communication skills
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Compensation/Benefits:
- Up to $120K base salary + paid overtime + discretionary bonus
