Our client, a global investment firm is seeking a Temporary Executive Assistant to support a team of executives in their New York office during a maternity leave coverage assignment. This individual will provide administrative support including calendar management, travel coordination, expense reporting, and general office support in a dynamic corporate environment. The ideal candidate is professional, adaptable, detail-oriented, and comfortable managing competing priorities while supporting high-touch executives and the broader team. This person must be willing to jump in and help wherever needed. This role starts ASAP (as soon as we can find the right person) with a contract of 6 months. This role is fully onsite Mon-Fri, with in-office hours of 8:30am-5:30pm, with limited OT as needed. This person should have flexibility to handle urgent matters after hours as needed. Hourly rate is 40-45/hr depending on experience.
Responsibilities:
- Support 2 high-touch General Partners along with additional partner support as needed
- Manage calendars, primarily focused on scheduling 1:1 meetings and calls
- Coordinate travel arrangements using Perk
- Process expense reports through Concur
- Assist with internal projects and ad hoc administrative needs
- Provide light office support and back up the Office Manager when needed
- Monitor emails and provide additional support during executive travel periods
- Help maintain smooth day-to-day office operations
Qualifications:
- Bachelor’s degree required
- A minimum of 1-4+ years of corporate administrative or executive support experience out of professional services
- Experience with calendar management, travel coordination, and expense reporting
- Familiarity with Concur and/or Perk is a plus, though both systems are considered user-friendly/ there will be training
- Strong organizational skills and attention to detail
- High level of professionalism and discretion
- Comfortable working in a fully onsite role Mon-Fri
- Adaptable and able to work independently in a smaller office setting
- Strong communication skills and ability to manage multiple priorities simultaneously
