Our client is seeking a collaborative, detail‑oriented Executive Assistant to support senior leaders within a close‑knit global investment office. This role primarily supports the Chief Financial Officer and General Counsel, with potential expansion as the team grows. The environment is professional, thoughtful, and collaborative, with a strong emphasis on discretion and organization. Hours are generally 8:30am-5:30pm and the role follows a hybrid 4/1 schedule with Fridays remote.
Key Responsibilities:
- Provide executive‑level administrative support to the CFO and General Counsel, with potential future coverage for an additional leader
- Manage heavy calendar scheduling, including coordinating frequent internal and external meetings
- Prepare executives for meetings by proactively organizing materials and logistics
- Coordinate limited domestic and international travel, including itineraries and logistics
- Process and reconcile expense reports using Concur
- Assist with document management, systems coordination, and software applications related to Finance
- Support Legal workflows including proofreading, editing, and document preparation
- Draft, edit, and format materials using Word, Excel, PowerPoint, and Outlook
- Serve as a professional front‑of‑house presence during meetings, greeting guests and assisting with conference room setup
- Prepare and clear conference rooms, including catering and AV coordination
- Participate in shared reception, kitchen, and pantry coverage as part of a team rotation
- Provide backup coverage for other Executive Assistants during breaks and vacations
- Assist with birthdays, celebrations, and internal events with a positive, team‑first attitude
Qualifications:
- 5+ years of experience in an Executive Assistant or administrative support role
- Bachelor’s degree required
- Strong organizational skills with exceptional attention to detail
- Professional, warm, and approachable demeanor with strong executive presence
- Comfortable working in a client‑facing environment and hosting meetings
- Strong written and verbal communication skills
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Experience with Concur preferred
- Team‑oriented mindset with a willingness to jump in wherever needed
- Open to industry background; fit with the team is paramount
Compensation/Benefits:
- Up to $90K-$95K base salary + discretionary bonus
- Medical and dental coverage with low employee contribution; vision fully covered
- Commuter benefits fully covered up to $127/month
- PTO package
- Half-day Summer Fridays between Memorial Day and Labor Day
