Our client, a Boston-based investment management firm, is seeking an Administrative Assistant for a 6-8 month contract assignment paying $30/hour. This role is based in Boston, with a schedule of 8:00 AM – 4:00 PM (with some flexibility) and requires 4 days onsite and 1 day remote. Job Responsibilities:
- Coordinate document execution, saving, and distribution for the Legal team
- Maintain and update commercial contracts, NDA logs, and outside counsel lists
- Manage incoming Legal inbox and assist with general correspondence
- Prepare reports, charts, and tracking logs for department metrics
- Run document redlines and support legal documentation processes
- Organize physical and electronic files, including scanning and record management
- Handle incoming/outgoing mail, subpoenas, and legal notices
- Maintain corporate minute books (U.S. and non-U.S. entities)
- Provide general administrative support as needed
Candidate Qualifications:
- Bachelor’s degree required
- Prior administrative experience in a fast-paced environment (legal or investment setting a plus)
- Strong proficiency in Microsoft Office (especially Outlook and Excel)
- Excellent organizational, analytical, and time management skills
- Strong written and verbal communication abilities
- Ability to handle confidential information with discretion
- Self-motivated and able to work both independently and collaboratively
- Comfortable in a deadline-driven environment with potential for overtime
- Strong attention to detail and client-service mindset
