Our client is seeking a proactive, assertive Project Coordinator to support a senior consultant within a global leadership advisory and executive search firm. This role sits within the firm’s consulting practice and supports a leader focused on team effectiveness and client development. The ideal candidate is structured, confident, and comfortable owning projects from start to finish while operating independently. Hours are generally 8:30/9:00am-5:00/5:30pm with flexibility to monitor email and respond as needed after hours. The role follows a hybrid schedule after initial onboarding.
Key Responsibilities:
- Provide end‑to‑end project coordination support to a senior consultant within the advisory practice
- Manage complex scheduling for candidates, clients, and internal stakeholders
- Own job status tracking and reporting to ensure projects move forward on time
- Serve as the final proofing and quality‑control resource on client deliverables, presentations, and documents
- Draft, edit, and format materials using Word and PowerPoint
- Maintain and update data within proprietary CRM and internal databases
- Coordinate travel logistics and meeting preparation
- Anticipate next steps, flag risks, and proactively drive tasks to completion
- Act as a true desk owner, organizing priorities, managing timelines, and following through independently
- Partner effectively with peers and broader admin teams to ensure coverage and consistency
Qualifications:
- 4-6+ years of experience in a Project Coordinator, Executive Assistant, or similar support role
- Demonstrated experience owning projects from start to finish (not just calendar and travel support)
- Strong organizational skills with exceptional attention to detail
- Confident, assertive working style with the ability to push projects forward
- Comfortable supporting complex, technical, or content‑heavy work
- Excellent written and verbal communication skills
- Proficiency in Microsoft Word, PowerPoint, Outlook, and database systems
- Proven ability to work independently and prioritize effectively
- Bachelor’s degree strongly preferred
Compensation/Benefits:
- Up to $85K-$90K base salary + paid overtime + discretionary bonus
- Medical, dental, and vision benefits
- PTO package that increases with tenure
- Unlimited sick time plus annual sick bank hours
- 401(k) with match
- Profit sharing (eligibility after one year)
- 16 weeks fully paid parental leave
- Backup care days, life insurance, and pet insurance
