Our client, a global consulting firm in Boston, is seeking an Administrative Assistant for a contract role set to run through March 2027 (with potential to extend or convert). This position offers a hybrid schedule (3 days onsite, after initial training period) with hours Monday-Friday, 8:00am-5:00pm or 8:30am-5:30pm. It is compensating up to $28/hour, depending on experience. Qualified and interested candidates are encouraged to apply today for immediate consideration.
Job Responsibilities:
- Manage calendars, scheduling, and meeting coordination across multiple time zones
- Arrange domestic and international travel logistics, including itineraries and visa coordination
- Process expense reports and handle administrative workflows (timekeeping, documentation, etc.)
- Coordinate internal and external meetings, including space reservations, catering, and accommodations
- Prepare and organize materials for client proposals, presentations, and internal documentation
- Support multiple stakeholders with shifting priorities, complex schedules, and travel demands
- Communicate with vendors, clients, and internal teams via email and phone
- Handle sensitive information with discretion and confidentiality
- Troubleshoot issues and provide administrative solutions as needed
- Assist with special projects and deadlines
- Provide back-up front desk support, including answering phones, greeting visitors, and managing deliveries
Candidate Qualifications:
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 4+ years of administrative or executive assistant experience, ideally in a professional services environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams); SAP and Concur experience a plus
- Strong written and verbal communication skills
- Professional demeanor with strong judgment and attention to detail
- Highly organized, dependable, and punctual
- Ability to multitask and manage competing priorities in a fast-paced environment
- Collaborative, client-focused mindset with a proactive approach to work
- Ability to work both independently and as part of a team
- Strong work ethic, problem-solving skills, and adaptability
