Our client, a private investment firm in the biotech industry, is seeking an experienced Executive Assistant to support a Managing Director. This is a 6‑month+ contract, offering $40-$45/hr, based on site in Boston with a hybrid schedule (3 days onsite). Hours are 8:30 AM-5:00 PM, with flexibility to work outside standard hours for meetings. Qualified and interested candidates are encouraged to apply today for immediate consideration.
Job Responsibilities
- Provide high‑level executive support with proactive anticipation of needs
- Manage complex, multi‑time‑zone calendars with frequent last‑minute changes
- Coordinate extensive domestic and international travel, including detailed itineraries
- Schedule and support board meetings, investor meetings, and leadership sessions
- Assist with investor communications and preparation of materials
- Support deal‑related activities, including diligence and deal closings
- Maintain and manage highly confidential information and sensitive correspondence
- Liaise with portfolio companies, investors, and internal stakeholders
- Provide logistical and administrative support for board and investor meetings
- Assist with deal room coordination and documentation
- Manage expenses and reporting through expense management systems
Candidate Qualifications
- 7+ years of Executive Assistant experience, including 3+ years supporting a Managing Director or equivalent
- Background in private biotech investing or a similar high‑stakes environment
- Proven experience managing heavy travel and rapidly changing schedules
- Strong familiarity with board meetings, investor communications, and diligence processes
- Advanced proficiency in Outlook, Excel, PowerPoint, Zoom, and expense tools
- Exceptional organization, judgment, and attention to detail
- Ability to maintain strict confidentiality
- Comfortable working in a fast‑paced, high‑expectation environment
- Flexible, responsive, and able to support needs outside standard business hours
