Our client is seeking a highly organized and collaborative Office Manager to oversee operations across both New York City and Short Hills, NJ within a global law firm. The role partners closely with the Office Administrator and firm leadership, requiring strong judgment, discretion, and the ability to manage multiple priorities. Hours are 9:00am-5:30pm with flexibility as needed. The role is fully onsite five days per week for the first 60 days, then moves to a hybrid schedule (3/2) with flexibility.
Key Responsibilities:
- Oversee daily operations across NYC and Short Hills office locations
- Partner with Office Administrator and leadership to support firm initiatives and office strategy
- Manage office budgets, expenses, vendor payments, and financial reporting
- Coordinate real estate and facilities projects, including space planning, renovations, and moves
- Serve as liaison between offices, internal departments, and external vendors
- Support billing and collections processes alongside partners and finance teams
- Plan and execute office events, meetings, and engagement initiatives
- Assist with onboarding, recruitment coordination, and employee relations support
- Ensure smooth operation of office processes and adherence to firm protocols
- Communicate with HR and leadership regarding office issues and escalations
- Support internal reporting, communications, and office-wide updates
- Identify process improvements and drive operational efficiencies
- Maintain a professional, collaborative, and high‑functioning office culture
Qualifications:
- 4+ years of experience in office management or operations within professional services
- Prior law firm experience strongly preferred
- Experience managing budgets, vendors, and office operations
- Strong organizational and project management skills
- Excellent communication and interpersonal skills
- Ability to multitask and manage competing priorities
- Strong problem‑solving skills and sound judgment
- Professional presence with ability to interact across all levels
- High level of discretion and confidentiality
- Bachelor’s degree preferred
Compensation/Benefits:
- Up to $100K-$135K base salary + discretionary bonus + annual merit increases
