We are partnering with a highly regarded law firm in downtown Chicago to hire an Office Operations Administrator. This is a great opportunity for someone who enjoys owning both the operational and financial side of a business and wants to be a key contributor to a tight-knit, professional team.

This role is ideal for someone with a legal or professional services background who thrives in a hands-on environment and can balance accounting, office management, and light marketing support.

What You’ll Be Doing

  • Oversee daily office operations to keep everything running smoothly
  • Handle full-cycle accounts payable including vendor payments, deposits, and reconciliations
  • Manage budget tracking, inventory, and vendor relationships
  • Maintain accurate financial records and resolve discrepancies
  • Reconcile bank accounts, payroll, and benefits statements
  • Administer employee benefits including enrollments and updates
  • Manage payroll and employee data through Paychex Flex
  • Coordinate insurance renewals and vendor relationships
  • Support attorneys with business development and marketing initiatives
  • Prepare proposals, newsletters, and client-facing materials
  • Maintain the firm website and assist with digital content updates
  • Process expense reports and assist with month-end close

What They’re Looking For

  • 3+ years of experience, ideally from a law firm
  • QuickBooks experience required, Centerbase is a plus
  • Strong understanding of general accounting principles
  • Highly organized with excellent attention to detail
  • Strong communication skills and ability to work with all levels of the firm
  • Discreet with confidential information
  • Proficient in Microsoft Office, especially Excel
  • Ability to manage multiple priorities and meet deadlines
