Our client is seeking a polished, highly organized Administrative Assistant to support a fast‑paced trading team at a hedge fund. This is a client‑facing, high‑exposure entry‑level role ideal for someone early in their career who is eager to break into finance and gain hands-on experience in a demanding environment. The ideal candidate is confident, mature, and thrives under pressure, particularly during peak market hours. Hours are generally 7:30am-5:30/6:00pm with flexibility for overtime as needed, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide administrative support to the Head of Trading and Analyst within the Primary Strategies team
- Manage complex calendars, scheduling, and meeting coordination
- Coordinate domestic travel and logistics, including detailed itineraries
- Act as a point of contact for sell-side relationships and external stakeholders
- Support high-volume scheduling during peak market hours
- Maintain organization of contacts, schedules, and communications
- Assist with meeting logistics, conference room coordination, and team needs
- Partner with a remote Research Assistant for coverage and collaboration
- Handle ad hoc administrative tasks and project support
- Maintain professionalism in a fast-paced, direct feedback environment
Qualifications:
- 0-1+ years of administrative or office experience (open to strong new grads with relevant internship experience)
- Bachelor’s degree required (strong academic background preferred)
- Interest in finance or hedge fund environment strongly preferred
- Strong calendar management and organizational skills
- High attention to detail and ability to multitask
- Strong communication skills with a professional, confident demeanor
- Ability to handle direct feedback and operate in a high-performance environment
- Proactive, solutions-oriented mindset
- Strong work ethic and desire to grow within the industry
- Proficiency in Microsoft Office
Compensation/Benefits:
- Up to $65K-$75K base salary + bonus potential
