Our client, a private trading firm, is seeking a Temporary Office Coordinator to support their 2 office building across the street from one another. The role will begin Tuesday, 8/4 and will last through Friday, 8/14. The day will start at 9am and will end anywhere from 3pm-5pm depending on office needs. The candidate to be in office five days a week. This is a great opportunity for someone who thrives in a fast-paced office space and has high attention to detail in the work they do. The role pays up to $20/hr.

Responsibilities:

  • Manage and distribute incoming deliveries, packages, and mail.
  • Monitor and maintain inventory levels for kitchen and pantry supplies, ensuring all areas remain fully stocked and presentable.
  • Serve as a back up point of contact at the front desk, greeting visitors and assisting employees as needed.
  • Coordinate conference room setups, including room preparation, organization, and ensuring meeting spaces are properly maintained.
  • Maintain the overall appearance and functionality of common areas, including reception, kitchen, and meeting spaces.
  • Provide general administrative and office support to promote a positive and efficient workplace environment.

Qualifications:

  • 1-2+ years in an administrative role – experience at an investment or finance firm is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines simultaneously.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with investors, colleagues, and external stakeholders.
  • Meticulous attention to detail and discretion, especially when handling investor requests or external inquiries.
  • Ability to work and think independently, take initiative, and proactively anticipate needs.
  • Bachelor’s degree or equivalent work experience preferred.
