Our client is seeking a polished, service‑oriented Receptionist/Executive Assistant to support a small, highly respected investment firm. This is a blended front‑of‑house and administrative support role that combines reception responsibilities with executive support for investment professionals. The ideal candidate is upbeat, resourceful, and thrives in a collaborative environment where professionalism, attention to detail, and a positive attitude are highly valued. Hours are 9:00am-5:00pm and the role is fully onsite five days per week.
Key Responsibilities:
- Serve as the first point of contact for visitors, clients, and deliveries
- Greet guests and maintain a professional, welcoming reception area
- Coordinate conference room scheduling and meeting logistics
- Order office snacks, catering, and meals for meetings as needed
- Monitor conference room calendars and ensure meeting spaces are properly maintained
- Reconcile monthly office vendor statements and invoices
- Assist with holiday gifting, errands, and office support projects
- Provide administrative support to investment professionals
- Manage calendars, travel arrangements, and scheduling needs
- Coordinate domestic and international travel logistics and itineraries
- Draft, edit, and format correspondence, reports, and presentations
- Maintain organized files, records, and confidential information
- Support ad hoc projects and administrative initiatives across the office
Qualifications:
- Bachelor’s degree required
- Prior office, administrative, reception, or client service experience preferred
- Strong organizational skills with excellent attention to detail
- Exceptional written and verbal communication skills
- Ability to manage multiple priorities and work independently
- Professional, polished demeanor with a positive attitude
- Resourceful, team‑oriented mindset with strong problem‑solving abilities
- Ability to maintain confidentiality and exercise discretion
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Compensation/Benefits:
- Up to $65K-$70K base salary + discretionary bonus
