Our client, a leading private research university, is seeking an Academic Program Coordinator to join their team in Boston, MA. This is a hybrid opportunity requiring 3 days onsite and 2 days remote, offering $28.00/hour and expected to last 6+ months with potential for permanent hire. This position supports academic program operations, student services, curriculum administration, committee coordination, and departmental initiatives within a fast-paced higher education environment. The ideal candidate will bring strong administrative experience, exceptional organizational skills, and the ability to manage multiple priorities while serving as a key resource for students, faculty, and university leadership.

Key Responsibilities

  • Coordinate academic program operations, including course scheduling, curriculum documentation, degree records, and semester planning activities.
  • Provide administrative support for undergraduate and graduate program committees, including meeting coordination, agenda preparation, and documentation.
  • Serve as a primary point of contact for current students, prospective applicants, faculty, and visitors.
  • Support visiting student and scholar administration by coordinating required documentation and related processes.
  • Assist with student employment processes, including recruitment, onboarding, timesheet administration, and record maintenance.
  • Collect, maintain, and analyze program data to support departmental reporting, accreditation efforts, and program reviews.
  • Coordinate student recruitment initiatives, academic events, meetings, and other departmental programs.
  • Prepare correspondence, reports, presentations, and other communications while supporting day-to-day departmental operations.

Candidate Qualifications

  • Bachelor’s degree required; Master’s degree in Higher Education or a related field preferred.
  • 3+ years of administrative experience, preferably within a higher education, academic, or student services environment.
  • Experience supporting academic programs, course scheduling, curriculum management, or related university operations required.
  • Banner experience is strongly preferred. Experience working with Banner SSB and CourseLeaf is highly desirable.
  • Demonstrated ability to learn new systems, technology, and processes quickly.
  • Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Excellent written and verbal communication skills with the ability to interact professionally with students, faculty, and administrators.
  • Strong organizational, analytical, and problem-solving skills with exceptional attention to detail and the ability to manage confidential information.
