Our client is seeking an experienced Office & Facilities Manager to oversee workplace operations for a growing New York office while serving as a key partner in an upcoming office expansion project. This role requires a hands-on, solutions-oriented professional who can confidently manage vendors, facilities issues, budgets, and office operations while creating an exceptional employee and guest experience. The ideal candidate is proactive, resourceful, and comfortable taking ownership of challenges, driving projects forward, and holding vendors and contractors accountable when needed. Hours are generally 8:30am-5:30pm with flexibility as needed, and the role is fully onsite five days per week.

Key Responsibilities:

  • Oversee all day-to-day office operations, ensuring a professional, organized, and efficient workplace environment for employees and visitors
  • Manage vendor relationships, facilities matters, office budgets, inventory, contracts, and workplace services while maintaining high operational standards
  • Lead coordination efforts for an upcoming office expansion and construction project, serving as the primary liaison between employees, contractors, landlords, and vendors
  • Support office logistics including meeting preparation, catering coordination, mail distribution, office aesthetics, and employee experience initiatives
  • Manage corporate apartment operations, including scheduling, maintenance coordination, vendor management, and guest readiness
  • Partner with accounting, human resources, and global operations teams on onboarding, expense management, compliance, workplace safety, and special projects

Qualifications:

  • 4-6+ years of office management, facilities management, workplace operations, or related administrative experience
  • Bachelor’s degree preferred
  • Experience managing office expansions, relocations, construction projects, facilities vendors, or workplace operations strongly preferred
  • Strong organizational, budgeting, project management, and vendor management skills
  • Proficiency with Microsoft Office Suite, particularly Outlook and Excel
  • Resourceful, proactive professional with strong communication skills, sound judgment, and a no-task-too-small mentality

Compensation/Benefits:

  • Up to $110K-$120K base salary plus significant bonus opportunity, with flexibility in compensation structure based on experience
