Our client, a rapidly growing venture capital firm, is seeking a highly organized, proactive, and service-oriented Office Manager/Executive Assistant to oversee the day-to-day operations of their exciting new space in Meatpacking District, Manhattan, slated to open in early 2027. This individual will play a critical role in creating a best-in-class workplace experience while serving as the primary point of contact for all office-related matters.
The office will be home to multiple portfolio companies, making this an exceptional opportunity for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in creating an organized, efficient, and welcoming workplace. The ideal candidate is a self-starter who enjoys wearing many hats, takes ownership of their responsibilities, and is energized by the opportunity to help build something from the ground up. Hours are generally 8/9am-5/6pm with reachability as needed, requiring 5 days in office/week.
Key Responsibilities:
* Serve as the primary point of contact for all office operations and workplace-related matters.
* Oversee the day-to-day management of the NYC office, ensuring a seamless experience for employees, guests, and visitors.
* Partner with leadership throughout the office buildout and launch process ahead of the planned January 2027 opening.
* Create and maintain a polished, professional, and highly organized office environment.
* Manage relationships with vendors, building management, maintenance providers, catering partners, and other external service providers.
* Coordinate office supplies, inventory, equipment, furniture, and workplace amenities.
* Assist with vendor sourcing, contract coordination, and cost management where appropriate.
* Support office events, meetings, employee gatherings, and hospitality-related needs.
* Anticipate team needs and proactively implement solutions that improve efficiency and workplace experience.
* Welcome visitors and represent the firm with professionalism, discretion, and exceptional customer service.
* Partner closely with executive support staff to ensure seamless coordination across administrative functions.
* Establish and maintain workplace processes, procedures, and operational best practices as the office continues to grow.
Qualifications:
* Prior experience in office management, workplace operations, facilities coordination, or a similar administrative leadership role.
* Experience helping launch, build, or significantly enhance an office environment is highly preferred.
* Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail.
* Strong sense of ownership, accountability, and follow-through.
* Comfortable working independently and making decisions with confidence.
* Excellent vendor management and relationship-building skills.
* Highly responsive with a strong sense of urgency and commitment to service.
