Our client is seeking a professional and proactive Administrative Assistant to support the Investor Relations team within a growing investment management firm. This newly created role offers the opportunity to work closely with senior Investor Relations professionals while gaining exposure to client-facing activities, executive support, and strategic projects. The ideal candidate is highly organized, collaborative, and detail-oriented, with strong communication skills and a commitment to delivering exceptional service in a fast-paced environment. Hours are generally 8:30am-5:00pm/5:30pm with flexibility for occasional overtime, and the role is fully onsite five days per week.

Key Responsibilities:

  • Provide administrative support to Investor Relations leadership, including complex calendar management, travel coordination, and expense reporting
  • Assist with meeting preparation, client-facing activities, presentation materials, and investor communications
  • Coordinate scheduling across internal and external stakeholders while ensuring seamless execution of meetings and events
  • Support Investor Relations projects and special initiatives, helping maintain organization and follow-through on key priorities
  • Manage travel logistics, itineraries, and administrative workflows with a high level of accuracy and attention to detail
  • Serve as a collaborative partner to the broader team, delivering responsive support and maintaining strong relationships across the organization

Qualifications:

  • Bachelor’s degree required
  • Prior administrative, executive support, client service, or professional services experience preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Excellent written and verbal communication skills with a client-facing mindset
  • Advanced professionalism, sound judgment, and a collaborative team-oriented approach
  • Strong Microsoft Office skills; Excel proficiency is a plus
