Our client is seeking a proactive and highly organized Office Manager to oversee the day-to-day operations of a growing healthcare-focused investment firm. This role is ideal for someone who enjoys being at the center of office operations, creating a welcoming environment for employees and visitors, and taking ownership of facilities, vendor management, and workplace initiatives. The ideal candidate is professional, resourceful, and service-oriented, with strong organizational skills and the ability to manage multiple priorities in a fast-paced environment. Hours are generally 8:30am-5:30pm with flexibility as needed, particularly during an upcoming office relocation project, and the role is fully onsite five days per week.
Key Responsibilities:
- Manage daily office operations, including reception duties, visitor experience, conference room coordination, phone support, and workplace services
- Oversee vendor relationships, facilities management, office maintenance requests, food service coordination, and supply inventory
- Serve as a key project lead for the firm’s upcoming office relocation, coordinating logistics, vendors, movers, and workplace setup
- Coordinate daily lunch service, employee events, annual offsites, quarterly gatherings, and other culture-building initiatives
- Partner with administrative and leadership teams on special projects, operational improvements, and employee experience programs
- Maintain office safety procedures, workplace organization, and a professional environment that reflects the firm’s standards
Qualifications:
- 2+ years of office management, office coordination, reception, workplace operations, or related corporate experience
- Bachelor’s degree highly preferred
- Strong organizational skills with the ability to manage multiple projects, vendors, and competing priorities simultaneously
- Excellent communication and customer service skills, including experience interacting with visitors, executives, and external partners
- Proficiency in Microsoft Outlook and other Microsoft Office applications; strong technology skills preferred
- Positive, adaptable, and service-oriented personality with a willingness to take ownership and contribute wherever needed
Compensation/Benefits:
- Up to $95K base salary plus bonus opportunity
