Our client is seeking an experienced Office Operations Manager to oversee workplace operations for a dynamic New York office while serving as a key administrative partner to the Office Head. This highly visible role blends office management, facilities coordination, executive support, and team operations, making it an excellent opportunity for someone who enjoys taking ownership, building relationships, and creating a seamless employee experience. The ideal candidate is proactive, highly organized, and comfortable balancing strategic office initiatives with day-to-day operational responsibilities. Hours are generally 8:30am-5:30pm, with occasional flexibility required for after-hours facilities matters or office-related emergencies, and the role requires a strong in-office presence based on business needs and key office events.
Key Responsibilities:
- Oversee day-to-day office operations, facilities management, vendor relationships, security protocols, space planning, and workplace logistics for a 90+ person office
- Supervise the receptionist while ensuring an exceptional experience for employees, visitors, and external partners
- Provide executive support to the Office Head, including calendar management, travel coordination, expense reporting, meeting logistics, and administrative projects
- Partner with leadership, HR, and administrative teams on office communications, celebrations, employee events, offsites, and culture-building initiatives
- Manage office projects, vendor contracts, facilities improvements, office moves, and operational processes while maintaining strong workplace standards
- Support reporting, dashboards, CRM updates, office planning, and special projects that enhance office effectiveness and employee engagement
Qualifications:
- 8+ years of administrative, executive support, operations, or office management experience, including at least 3 years in an office management capacity
- Bachelor’s degree or equivalent professional experience required
- Experience within professional services, consulting, nonprofit, or corporate environments preferred
- Strong facilities, vendor management, project coordination, and executive support experience
- Exceptional written and verbal communication skills with the ability to interact effectively across all organizational levels
- Highly organized, adaptable professional with strong judgment, attention to detail, and a proactive, solutions-oriented mindset
Compensation/Benefits:
- Up to $95K-$100K base salary
